Series Title (Agency Series #): Description, Retention (Legal Citation)

Field Interrogation Reports (MCSO30-003): Informational reports written by an officer related to individuals, events, or vehicles for which the officer does not have a probably cause for enforcement. Information usually includes name and address of person contacted, physical description of person or vehicle contacted, officer's name, location of contact, date and time, witnesses, reason for contact, and related data.­

 Law Enforcement Activity Reports (MCSO30-007(a) and MCSO30-007(b)): Individual officer, shift, and other activity reports usually filed on a daily, weekly, monthly, or annual basis. Useful for reference, performance monitoring, compiling annual reports, planning and budgeting, and for briefing subsequent shifts or activities. Applies to various duties such as dispatch, confinement, investigations, and patrol. Information usually includes name, shift, date, activities, and various statistical categories for tracking the number of arrests, phone calls, mileage, and other indicators. Also includes monthly and annual law enforcement or uniform crime reports summarizing statistics on criminal activity and office operations. Information may include date, categories, totals, and related data. 
Retention: MCSO30-007(a) Annual reports and monthly reports for years in which no annual report exists: retain permanently; MCSO30-007(b) Other reports: retain 2 years. (OAR 166-150-0135(1))­    

Towed Vehicle Records (MCSO30-001): Records documenting tow truck requests and responses. Information usually includes date, name of requestor, name of towing company, called, location, and other data.  Records may also include documentation of vehicles towed from private property at the request of citizens.­

Traffic Citations (MCSO30-004): Department copies of citations issued for traffic and related violations. Includes uniform traffic citations, parking citations, and others. Information includes location, date and time, name and address of person cited, vehicle description and license number, description of violation, law/ordinance violated, name of officer issuing citation, and related data.­

Traffic Violation Warnings (MCSO30-005): Records documenting warnings issued for traffic violations. Often used to determine repeat offenders and for follow-up investigations. Information includes location, date and time, name and address of person warned, vehicle description and license number, description of violation, law/ordinance violated, name of officer issuing warning, and related data.­
Retention: Retain 2 years. (MOAR 166-150-0135(82))­    

Warrant Records (MCSO30-002): Documents warrants received, entered into the tracking system, served, and purged. Includes warrant entry logs documenting warrants entered into the Justice Automated Warrant System (JAWS) and indicating warrant and name of defendant; warrant clearance logs documenting warrants served and indicating warrant number, and defendant name and date of birth; Law Enforcement Data System (LEDS) Validation Lists, produced monthly to track active felony warrants and indicating warrant number, defendant name, charge, and bail; Warrant Recall Lists received twice daily from the court to indicate which warrants to recall; Warrant Service Cards documenting attempts to serve warrants by officer, and related materials.­
